Clean up the data
Review the contact list for any errors, duplicates, or inconsistencies. Remove any unnecessary characters, spaces, or formatting issues. Ensure that all the data is accurate and up-to-date. We recommend Google sheet extension called 'Power Tools' as it will help you do this in bulk
Format the data for import:
Depending on the CRM system you exported the data from, you may need to format the data in a specific way for successful import into the Stand Out From The Pack™. This template has all the details - click here now to access it (in particular pay attention to the the date fields and phone fields). To speed up the process, we recommend Google sheet extension called 'Power Tools' as it will help you do the formatting much faster.
Once finalised, export as a CSV File
Login to 'Bulk Email Checker' (Or create a free account if you don't have one yet.)
*Bulk Email Checker is a web application that can verify if an email address is real or fake. We recommend you use it to clean your list so that you have a cleaner list to import into the Stand Out From The Pack™ and as a result have better deliverability for your emails when you start doing email marketing.
Upload your list by clicking on the Choose File, and if it contains data other than just email addresses, click on the second option
Click on Upload.
Click the 'Check Status' button again to refresh the import status
When the import is done, you need to choose the column that contains email addresses. Then, click on Select.
Confirm and pay the number of credits for verification to start. You can pay additional credits to speed up the process too.
Allow time for the validation to complete by the 'Bulk Email Checker' Tool. The amount of time needed depends on the number of emails in your list (A list of 10,000 may take 10-12 hours)
Once the validation process is complete export your file by clicking the Export button and selecting Spreadsheet.
Open the file and note the 'Status' column showing if emails have passed, failed or come back as an unknown status.
Create a new column next to the 'Status column and call this new column 'Tags'
Add in following tags (depending on the status)
email-unknown
email-failed
email-passed
e.g. unknown ➝ Add tag 'email-unknown'
PRO TIP: Use the Power Tools Extension to simply 'append' the 'email-' in front of the statuses... simply select the column (status) .. this way you don't need to create the 'Tags' Column.. then you just rename the 'Status' to 'Tags' once done :)
Great! Your list is now ready for import. Next, let's check if you need to create any custom fields to hold unique information that may not already exist. To do this, login to your account and navigate to the 'Settings' tab and select 'Custom Fields'. Take a look at the existing fields and determine if any of them are suitable for the unique data in your spreadsheet columns. If none of the custom fields are a good fit, go ahead and create new fields, making sure to select the appropriate field type. Once you have custom fields for each of your data types, you can proceed with the import process.

Go to 'Contacts'.
In the 'Contacts' window, click on the Import Contacts icon.
Click 'Upload a file'.
Select the file you've prepared and validated for import and click 'Open'.
PRO TIP: Before importing your entire contact list, it's a good idea to export a small batch of contacts first and test the import process with that. This will help you identify any issues or errors before proceeding with the full list.
After selecting the correct CSV file, click next.
Map the fields you want to import (some you may have to match manually if the header column name is different that the name of the custom field
When finished mapping the desired fields, check 'Don't import data in unmatched columns'.
*IMPORTANT: If you have unique columns that you want to import, create custom fields by going to 'Settings' > 'Custom fields' (Check if they already exist).
Add an 'Import name'.
We recommend using the name of the file and the purpose of the import.
Click 'Advanced' for additional import options.
Select 'Add New and Update Existing Records': this option adds new contacts and updates existing ones.
Confirm 'Find Existing Contacts Based on (Primary) is Email'.
Uncheck 'Don't update empty values for existing contact records' (By unchecking, you choose to update empty values for existing contact records).
Do not toggle to Add New Contacts to Workflow / Campaign.
Check 'Validate emails'.
Or skip this option if you've already validated your emails using BulkEmailChecker
Once finished, click 'Submit'.
To check the status of your import, go to 'Bulk Actions'
Find your action name and click 'Show Stats'. When the import is complete, the status column will display 'Complete'.
Review and verify the imported data
After the import is complete, review the imported contacts in your CRM to ensure that all the information has been accurately transferred. Make any necessary adjustments or corrections as needed.
You're done! The contacts in your import now have email validation tags. You can now go ahead and create filters and smart lists to exclude emails that failed validation or have an unknown status.
IMPORTANT CAVEAT:
If you choose to validate your list externally and want to avoid paying for validation again during import into the Stand Out From The Pack™, make sure to uncheck the "Validate emails" option during the import process since you have already cleaned the list. If you prefer to disable the initial validation when sending the first email to a new contact, you can do so by navigating to 'Settings' > 'Business Profile' > 'General' and unchecking the "Verify Email Address when first email is sent to a new contact" option. This way, you won't incur any validation-related fees until 90 days later when the system handles the re-validation*.
*We automatically re-validate each contact on your list every 90 days, starting from the last time their email was validated. This ensures that the email validation status remains up-to-date and accurate for the best chance of keeping a your domain reputation in good shape. If hate having a good email deliverability and you would like us to disable the automatic revalidation every 90 days, please submit a support ticket by clicking here.

We charge a fee for for list import preparation, which includes consolidating any spreadsheet files you provide, formatting data, validating contact records, creating custom fields in the CRM, testing the import using a small sample, importing the full list into your Stand Out From The Pack™ account, and finally, recreating any opportunities you had associated with the contacts already in to a new pipeline. The fee is 50c per each contact record (in AUD)
Consolidating multiple spreadsheet files into one (You provide)
Many customers have data from various sources (e.g., CRM exports and other software tools). Once you provide CSV or XLS files, we will combine all this data into a single spreadsheet and merge contacts with the same first and last name, as well as matching email and/or phone number into one row. If they don't have matching email and/or phone number, we will not merge them.

We will check the email addresses in your list for improper formatting, known spam traps, free and disposable emails, invalid MX records, invalid domains, and role-based email addresses. Our goal is to provide you with a cleaner contact list for better email deliverability.

For instance, if you have unique information about your contacts that is specific to your business niche, we will create custom fields for you. This will ensure that this information is properly imported when you import your contact list.
Recreation of Opportunities
If you have any existing deals with your contacts, we will also recreate those for you.

Our pricing is determined by the number of rows in your spreadsheet/s.
We will only merge contacts that have matching first and last names, as well as matching email and/or phone numbers. Contacts with the same name but different contact information will not be merged, resulting in multiple contact records.
To proceed, you'll need to provide us with CSV, XLS, or Shared Google Sheet files.
We will count the total rows (contact records) in these files to calculate the amount you need to pay.
The fee is 50c per each contact record (in AUD).
A 50% deposit is required before we begin, with the remaining payment due upon completion.
If additional files or requests are made after we start, a separate quote will be provided for the extra work.

With this, sending & receiving email will work right out of the box.
Because the Stand Out From The Pack™ is connected via 'LC Email's API to Mailgun, we can run a swift process which catches typos, whether they are honest mistakes or purposeful misdirects. It also confirms if a particular email address exists with a reliable domain such as Gmail or Yahoo. This not only helps in organising and cleaning your list of email addresses but also helps in protecting your email sender score, thus maximising the efficiency of all email marketing endeavours for your business.
With LC Email's email validation service, powered by its email sending cache, we can provide all our customers with some of the most accurate validation results on the market.
All the emails will be validated before sending the email if it was not validated before.
There is an option to re-validate the email in 90 days. Before email sending, the validated date will be checked if it has been validated before 90 days, then re-validation will happen.
On the contact detail page, you can manually check. Navigate into the contact record >scroll down the right side > click the envelope icon.
- Green = Valid
- Red = Invalid or Previously bounced. (The error message will also specify why the Email is invalid.)

Unless you uncheck the 'Validate emails' during bulk import, every contact you import to your account will undergo validation. At the end of each month, you will be billed based on the total number of new emails that were validated during that month. By default, you are charged for each email address validation when the first email is sent to a new contact.

When you first start with Stand Out From The Pack™, records are automatically set up to ensure your emails will be delivered to your recipients. These records include your sending domain or where your emails appear to be sent from.
By default, most users will start out sending from a shared IP and Stand Out From The Pack™ domain. This domain will appear in the sender information at the top of an email message (e.g., “sent on behalf of '' or “via standoutfromthepackmail.com”). This means your recipients see that your sender email address includes "via standoutfromthepackmail.com” because you are using a shared sending domain. As soon as you setup your own dedicated domain (or subdomain) your recipients will see that one instead.
